Top tips for reducing printing costs

Whether you’re printing material for yourself or for clients, you probably feel the pressure to keep costs down and output high. Luckily, there are some things you can do to minimize your outlay without compromising on your quality–and if you follow our advice outlined below, you’ll find yourself getting better value for money out of your printing operation.

• Combine print jobs

Use your wide format printer to combine the print run when you need to do smaller jobs. This will save time and reduce media wastage compared with printing out smaller items on their own. If you have nesting software, it will automatically combine individual images into the most cost-effective layout, but even without it, you can arrange a series of smaller prints to be printed together. As long as you have the ability to cut and trim the prints afterwards, you’ll be making the most of your media supplies and of your time.

• Use print preview to reduce media wastage

If you train your operators to use print preview before they press the print button, you could save a significant quantity of wasted ink and paper over time as avoidable mistakes are eliminated.

• Monitor your print job throughout

Keeping an eye on what’s coming out of the printer can give you early warning if your paper is feeding in skewed or if there’s a problem with the printheads or the way the ink is being laid down on the media. If you spot it and rectify it, it means that the whole print run isn’t ruined. This is where it can be a real advantage to have a printer with automatic sensors which can pick up any changes in ink density, or whether the paper is skewed or slack.

• Use a secure printer

If your printer costs seem to be spiralling out of control, then you might need to look into whether there’s been some unauthorized printing going on. Make sure that printer access is granted only to those who need it, and monitor what’s being printed. Plenty of modern printers come with security systems and operators will need the appropriate approvals to be able to use them.

• Take advantage of economies of scale

Although it might involve spending more at once, buying the largest possible ink cartridges your printer will take is the best way of keeping your ink costs down-and the savings can be significant. Some premium ink brands can be up to a third cheaper when bought in larger sizes. Additionally, printers that use reservoirs rather than cartridges can be particularly cost effective when it comes to ink, although it can involve more effort to keep them topped up.

• Use speed to your advantage

The faster your printer, the more you can print-and the more you print, the lower the unit cost. A fast printer has a greater capacity, which means you can take on more work for clients or spend less operator time printing your own work. It could even mean that a slower printer could become redundant.

• Use an extended warranty to control repair costs

Repairing an unexpected fault can be costly in terms of both time and money. However, if you have an extended warranty, at least you won’t be hit by unexpected repair bills -and you’ll be able to budget your printer maintenance costs across the year. Furthermore, repair under warranty usually means you’ll be able to get up and running again that much quicker.

• Print in draft mode

By using a lower resolution for everyday printing and works in progress, you can save between 20 and 40 percent of the cost of printing rough drafts. Check whether you can set your printer to draft mode as the default mode, so users have to make a change to the settings to print best quality for the final output.

• Use multiple rolls

If you set your printer up to be able to switch between rolls in dual roll mode, your operatives will save time changing the media between jobs. Users can simply pick which of the rolls to use when they’re setting up in the print menu.
